The Africa Business School (ABS) within Mohammed IV Polytechnic University (UM6P, Morocco) is recruiting an Academic Coordinator
The Africa Business School is dedicated to creating a rigorous and inclusive center for the development of research and learning in the continent. Drawing on strong private and public support, and in partnership with Columbia University, HEC Paris, and Ecole Polytechnique, ABS aims to become a trendsetter for shaping the social and business landscape in Africa and beyond.
The school is seeking candidates with ambitious career goals, preferably with direct relevance for the African continent. Readiness to be a self-starter is essential.
Mission of the Academic Coordinator
The Academic Coordinator will report to the Academic Director (or) the Director of Open Programs (or) the Director of Custom Programs and will work closely with the Program Officers (responsible for the design and implementation of training programs). He/she will be required to perform the following tasks.
- Main responsibilites
1. Logistical and administrative preparation of training programs
Carry out all activities to prepare the execution of the training program in conjunction with the Shared Services teams.
a. Definition of the training location and reservation of rooms according to the schedule
b. Validate with the Shared Services IT contact person the equipment at the training location (IS equipment, office supplies etc.)
c. Preparing the arrival of the teachers and students if necessary: making all the requests (international & local transport, accommodation etc.) to the Shared Services teams and providing all the necessary documents and information to the beneficiaries
d. Ensure communication with students and professors in advance
- Logistical and administrative support during the course of the programs
The Program Assistant will, with the assistance of the Program Officers, for all programs in which he/she is involved
a. Ensure the smooth administrative and logistical running of the program: room management, handling ad hoc requests from teachers and students, etc.
b.Carry out any other task necessary for the smooth running of the program (as requested by the Program Officer)
- Focus on coordination between the Academic coordinator and the programme officier
- Program Onboarding
Onboarding (Internal) meaning an intro to the program details, needs and specificities one-on-one with PO. This includes the following:
- Sharing of Class schedule
- Sharing details of faculty involved + student type (details about cohort)
- Defining logistics need, specifying what kind of services are needed.
*Standards = Catering – Housing (if needed)
*VIP = Eco Flight – Eco Hotel – Transfer Airport
*VIP 1 = Eco Flight – Business Hotel – Complete Transfers
*VIP 2 = Business Flight – Business Hotel – Complete Transfers
- Define format: F2F, or Hybrid + detail tools (Teams/Zoom) (Where does IT and PC scope stand)
2.Program Delivery
Formal introduction to students & faculty making role distinction:
PO = Academic Concerns & matters
AC = Logistics
AC = Follow-up arrival, stay & departure of faculty
Class set-up, catering coordination of students.
- Profile and competences
- Very strong organizational skills and adaptability,
- Able to work, write, speak in English and/or French (fluency in both languages preferred),
- Experience handling multiple priorities effectively; organizing time efficiently.
- Proves strong written and verbal skills; demonstrated persuasive and respectful presentation skills for communications with internal and external stakeholders
- Master of standard computer-based productivity tools (Office, Trello, Click-up, …) and comfort with using social networking tools
