Global Phosphorus Institute (GPI) has been established to promote global networks of research, innovation and dialogue on the vital role of phosphorus in supporting and improving life on earth in all its forms. To gain a complete picture of the current phosphorus cycle, knowledge from a broad spectrum of sciences, ranging from geology, mining, and chemical engineering; soil and plant sciences; and all facets of agricultural and environmental sciences to economics, policy, and behavioral and decision science related to P along the value chain will be brought together.

Roles and Responsibilities:

1. Updating administrative databases, project records, and financial files.
2. Managing and facilitating various partnerships and institutional visits, including researchers, professors, consultants, interns, and administration.
3. Handling phone and in-person reception.
4. Documenting and consolidating the policy and procedure manual, as well as documents for international partnerships in consultation with the entity's director.
5. Serving as the primary point of contact with various administrative offices, schools, departments, and research centers or partners (local and international).
6. Scheduling and organizing work meetings.
7. Drafting meeting minutes, reports, preparing meeting agendas, and visit plans.
8. Composing notes, emails, and letters as needed.
9. Disseminating internal communications.
10. Reviewing documents (administrative/legal/academic, etc.) and tracking revisions.
11. Managing logistical support for various events, both within and outside the organization (workshops, seminars, symposiums, etc.).
12. Monitoring various assigned projects and programs.
13. Maintaining hard copies and digital records of incoming and outgoing administrative and legal documents for the unit.
14. Providing administrative support for the implementation of various projects.

Profile recherché

Qualifications:

• Educational Background: Bachelor's degree or higher.
• Professional experience in administrative assistance.
• Proficiency with the Microsoft Office Suite.
• Excellent interpersonal skills.
• Strong attention to detail.
• Professional communication, both oral and written, with a diverse group of researchers and administrators.
• Well-organized, meticulous, responsible, and self-reliant.
• Ability to maintain a high level of confidentiality.
• Proactive initiative.
• Excellent English language skills (written and oral).
